We will continue to have on-campus housing, but at a greatly reduced capacity. Space in residential housing is also necessary for those students for whom housing and food insecurity are also threats to their health and wellbeing.

Residential Life and Housing is requiring all students to present a negative COVID test result before returning to the residence halls this spring. It is also highly encouraged that students receive a flu vaccination. Resident students will also be required to get on-campus COVID testing weekly. Students may be asked to isolate or quarantine pending results.

Students residing on campus will be required to participate in the asymptomatic testing program. The housing department will work to communicate this information to residential students.

Students living on campus will have the opportunity to participate in virtual and in-person programs that promote a sense of belonging and support overall wellbeing.

For the 2020-21 academic year, we have had to drastically cut our occupancy in the residence halls by about 50%. Every student will be assigned a single room, and will share a toilet, sink and shower with just one other person in their suite. We will monitor the guidance and information regarding Fall 2021 will be forthcoming.

Absolutely. Please complete the Housing Selection Form we sent you indicating your desire to remain living on campus. In that form are questions about your preferences. Our Assistant Director of Housing Operations, Pete Gibb, will work one on one with you to try to meet your requests as much as possible and ensure that you are happy with your assignment. We know this is not how housing assignments usually go, and we want to help you as much as possible.

We will be spreading move-in days out to occur over the course of one week to ensure proper social distancing. You will be able to sign up for a time to move in your belongings. Residential students will be required to go through a precheck-in process. The housing department will submit information to residential students expounding on this process. Please note: You will only be allowed 2 guests to help you move in. Masks will be required.

Unfortunately, no outside guests will be able to visit the residence halls this semester. Only residents may visit each other within the residence halls. We do, however, want to limit a lot of movement, so we will be asking you to share who you expect to visit frequently in the Housing Selection Form to try to house several students in “cluster” whenever possible.

We want to limit the amount of people entering your private space. Housekeeping and facilities staff will be entering suites on a limited and as needed basis only. Therefore, we will be requiring students to clean their own bathrooms. It is recommended that students sanitize the toilet and sink area between each use. Students will be responsible for upholding cleanliness standards within their living spaces. RIC will educate and inform students on appropriate cleaning protocols within their assigned spaces to reduce the spread of COVID-19. Regular health and safety checks will be conducted by staff members.

Social distancing will be expected as much as possible. Common areas will have limited occupancy, and lounges may have a reduced seating capacity. Laundry rooms and elevators will also have occupancy limits. There will also be an increased level of cleaning in the common areas including stairwell banisters, elevator buttons, door knobs, etc.

Health Services MUST be contacted should any of the following symptoms occur (even if the symptoms are mild); cough, fever, shortness of breath, shortness of breath/difficulty breathing, chills, muscle pain, runny nose, stuffy nose, sore throat, headache, nausea or vomiting, fatigue, diarrhea, or recent loss of taste or smell. (If there is a pre-existing condition that may impact a student’s ability to report symptoms or that may cause similar symptoms, or that may cause similar symptoms, a request with supporting medical documentation to the Reasonable Housing Accommodations Committee through the Disability Services Center utilizing the form on their website). Students may be required to go into quarantine or self-isolate.

Students must comply with any orders to quarantine or self-isolate for a period of time as determined by the Rhode Island Department of Health in coordination with RIC Health Services. During isolation/quarantine, a student will be asked to remain in their own suite or moved to a different suite (unless in an emergency situation) in order to prevent transmission to others, and the student will be asked not to have any contact with others. The student will be asked to monitor for symptoms and perform temperature checks at least twice daily and to contact Health Services if symptoms occur or change. Residents who are required to quarantine or self-isolate will have the ability to order meals using the Anchor Dining Mobile App and these meals will be delivered to the Resident.

Students may be asked to monitor temperature, have their temperature taken, be tested for COVID-19, or asked to self-isolate as a result of contract tracing, direct exposure, or mitigation.

You will need to agree to abide by these practices and sign a COVID-19 Compliance, Liability Waiver, and Assumption of the Risk waiver. It is important to note that failure to abide by these practices may result in a breach of your housing contract and/or be considered a violation of the student code of conduct. We hope you understand that by putting these practices in place, the College is seeking to mitigate the spread of the COVID-19 virus but cannot guarantee a risk-free environment. The form can be found on this webpage.

We have tried to be as upfront as possible with the changes and expectations for fall housing. At this time, these are our expectations. As this is a fluid situation, we will continue to monitor the situation and should we need to, will make additional changes for your safety and well-being.

Dining Services will be available for the Spring 2021 Semester and all services will be provided in accordance with the most current RIDOH and RI Department of Commerce Guidelines. Dining Services has tested processes in place to support all guest food service needs including those for Residents who are required to Isolate, Quarantine, or Shelter in Place.

Even though we may not all be together on campus, events are still happening. All students – including those who live off-campus and transfer students – are encouraged to participate. Check out a listing of them on the Student Activities event webpage.

We have approximately 70 student clubs and organizations that cover a variety of interests including academic, social, and media organizations. EMPLOYEES

Employees out of work due to a mandatory quarantine period as a result of traveling on work-related business are eligible for paid administrative leave. Non-work-related exposure resulting in mandatory quarantine will be covered by available leave options including:

  1. Sick leave
  2. Family Sick Leave
  3. Annual leave (vacation)
  4. Personal Days
  5. Compensatory time
  6. Leave without pay
  7. Medical leave without pay

Employees who are sick and exhaust all available accrued time may request advance sick time in accordance with applicable personnel policy or bargaining agreement rules.

Employees who exhaust all accrued time and advance sick time, may wish to explore sick bank options.

Employees who have been advised to self-quarantine and for whom a telework arrangement is not an option, may discharge accrued vacation, compensatory time, and personal time or take a leave without pay. All such situations must be discussed with the employee’s immediate supervisor and the Director of Human Resources before they can be approved.

Additional guidance will be provided regarding leave procedures for employees who contract COVID-19 or are exposed to the virus.

A teleworking arrangement allows an employee to perform the essential functions of their job from an alternate work location. Please learn more about teleworking at RIC.

Employees must have been in their current positions for at least six (6) months, demonstrate satisfactory performance, have no record of discipline within the past twelve (12) months and demonstrate self-motivation, self-discipline, an ability to work independently and meet or exceed deadlines. Job duties that require independent work, infrequent office-based face-to-face interaction and have defined tasks are typically best suited for telework. It is recommended you discuss the suitability of teleworking with your supervisor.

The teleworking restrictions for new employees have been temporarily waived. Employees who have been in their current position for less than six (6) months can also apply. Please discuss with your supervisor to determine if teleworking is suitable for you.

An approved work site other than the employee’s principal office/work station location where official RIC business is performed. Such locations may include, but are not limited to, employee’s homes or satellite offices.

Applications are currently being accepted.

A telework arrangement may not begin prior to completing and receiving express approval by the appropriate administrators (Director, AVP or VP and Director of HR) via the appropriately completed “Teleworking Request Form” and “Teleworking Agreement.”

The length of the teleworking arrangement is temporary and will be approved for the length of time indicated on the “Teleworking Agreement,” but in any case may not continue for more than 12 months.

Yes. Teleworking is not an entitlement or employee right. Teleworking arrangements are approved on a case-by-case basis. Employees on a teleworking arrangement are required to adhere to all terms and conditions of the Teleworking Policy and all state and RIC policies, practices, rules and procedures, as if the employee is working on-site at RIC. Further, employee participation is voluntary; therefore, the employee, director or authorized official may terminate the teleworking arrangement at any time and for any reason, with or without cause, with advance notice where feasible.

Employees are responsible for providing and maintaining their own workspace furniture, equipment, telephone lines and internet services, including all expenses related thereto.

Employees that wish to be considered for teleworking must complete and submit a formal request using the “Teleworking Request Form” and “Teleworking Agreement.” The completed forms are submitted to your direct supervisor for review. Your supervisor will coordinate the review of the formal request with the appropriate RIC administrators and HR.

The “Teleworking Policy,” “Teleworking Request Form” and “Teleworking Agreement” are available on the Office of Human Resources Web site.

GENERAL INFORMATION/RESOURCES

For full details on health and safety protocols that have been implemented to create and maintain a healthy campus community, please refer to the Fall 2020 plan

Following guidance from the CDC, the college is recommending a number of mitigating activities each of us can take to minimize community transmission of COVID-19 and to promote a healthy campus environment:

  1. Create habits and reminders to avoid touching your face and cover your mouth and nose with your elbow or a tissue when you cough or sneeze (and immediately dispose of the tissue).
  2. Wash your hands often with soap and water, for at least 20 seconds, and if soap and water are not available use 60-95% alcohol-based hand sanitizer.
  3. Avoid touching your eyes, nose or mouth.
  4. Clean and disinfect surfaces that are frequently touched, such as doorknobs, tables, desks and handrails.
  5. Limit food sharing.
  6. Stop handshaking and use other non-contact methods of greeting.
  7. Maintain distance (approximately six feet or two meters).
  8. Increase ventilation by opening windows or adjusting air conditioning.
  9. Use teleconferencing and videoconferencing for meetings when possible. If not, hold meetings in open, well-ventilated spaces.
  10. Stay home from work and school when you feel sick.

Our mental health is as important as our physical health. As this situation progresses, we know that anxiety, fear and concern are also increasing. There are a number of resources available to support overall health and well-being during this time.

No. Please remember that at Rhode Island College, a healthy environment is also an inclusive environment. The risk for coronavirus is tied to one’s travel history or close contact with someone who has traveled to an impacted area, not someone's nationality. Our college community remains committed to values of diversity and inclusion, and as such, we know that each of you will live those values, even in the midst of the present circumstances.

To learn more information related to the Coronavirus Disease, please visit the following resources:

  1. RI Department of Health
  2. Centers for Disease Control and Prevention (CDC)
  3. World Health Organization (WHO)
  4. Travel.State.Gov

Additionally, you are able to call the Rhode Island Department of Health (RIDOH) 401-222-8022 to access their public information line.

Stayinformed@ric.edu is your resource for college related questions.

If you are exhibiting symptoms, or believe that you have come into contact with a person who is either showing symptoms, has been determined to have a presumptive or confirmed case of coronavirus, please contact the RI Department of Health.

Yes, there are resources available.

Many of us are concerned about what the people in our communities may be experiencing, including possible stigmatization or discrimination based on racial bias or appearances. Please help others understand that coronavirus is a respiratory illness that is spread person to person and that national origin alone is not a risk factor.

Stigma doesn’t fight the illness and will hurt innocent people, but sharing accurate information during a time of heightened concern is one of the best things we can do to keep rumor and misinformation from spreading.

If you know of incidents of bias related to the novel coronavirus, please consider the following:

  1. Notify the RIC Police Department or call (401) 456-8211
  2. Notify the Director of Institutional Equity – Margaret Lynch Gadaleta mlynchgadaleta@ric.edu

Even in the remote learning environment, we want you to know that the Office of Institutional Equity, Affirmative Action and Title IX is here to support you regarding matters concerning equitable treatment and opportunity in employment, educational programs and activities as well as ensuring compliance with non-discrimination policies, laws and regulations related to equal opportunity and affirmative action.

As a reminder, the Office enforces the prohibition of discrimination on the basis of race, color, creed, national or ethnic origin, gender, religion, disability, age, sexual orientation, genetic information, gender identity or expression, marital, citizenship status or status as veteran. If you should have any questions, please contact the Office of Institutional Equity, Affirmative Action and Title IX.

Once you have completed the monitoring and tracking period it is requested that you contact RIC Health Services and report that you are symptom free. (Please remember to CALL AHEAD before showing up to a clinic or other health facility). RIC Health Services will follow up with students to initiate the process for their return OR students may submit documentation from their health provider to RIC Health Services directly. RIC Health Services will update the Dean of Students so that notification can be submitted to professors regarding the students return to class.

Due to the sensitivity of medical information, students are encouraged to submit documentation to the RIC Health Services office. This information will be maintained in a confidential management system by Health Services staff. Should it be necessary for faculty or other academic personnel to verify a student’s absence from class, as a result of the process outlined above, RIC Health Services staff will work with the Dean of Students office for notice of verification to be submitted to faculty or other academic personnel.

Yes, but please be mindful of social distancing and use videoconference or teleconferencing technology where possible.

According to the CDC, “social distancing means remaining out of congregate settings, avoiding mass gatherings, and maintaining distance (approximately 6 feet or 2 meters) from others when possible.”

COLLEGE DINING SERVICES

Yes. Food services will be available for Residents, Commuters, Faculty, and Staff at Donovan Dining Center, The Café in the Student Union, and thru vending machines across our campus - subject to the guidance of the RIDOH.

Yes. Seating is permitted in DDC subject to continued approval from the RIDOH.

Our dining areas have been redesigned to safely support social distancing. This has significantly reduced our capacity and resulted in a limited number of single seats, tables for two, and tables of four. Guests choosing to sit and dine are required to provide contact information, adhere to any time limits in place, and refrain from adding chairs or joining tables together.

Dining Services has worked closely with all areas of the College, the RIDOH, and our food safety consultant to minimize and prevent the transmission of COVID-19, so that we may maximize your safety and that of our staff.

We have developed a comprehensive reopening plan which has been thoroughly reviewed and approved for use by the RIDOH. This plan incorporates the best practices and recommendations by the CDC, RIDOH, and our food safety consultant. Dining staff have received additional training to execute this plan and will follow strict health safety protocols throughout this pandemic. We have also prepared response plans in the event that current conditions change.

Our dining facilities have undergone an extensive cleaning and sanitation process in preparation for reopening and our housekeeping staffing has been increased to maintain a high level of cleanliness as well as to focus on frequently touched areas.

We have installed additional sneeze guards, plexi-glass shields, and equipment that promotes touchless access. Two self-contained portable handwashing units and 14 hand sanitation stations have been strategically placed in our facilities for use by our Guests. Additional equipment to minimize/prevent the transmission of COVID-19 has also been acquired.

Yes. We have had to make some adjustments to support social distancing requirements. These adjustments primarily involve self-service areas and customized menu items. Every attempt has been made to provide alternatives for impacted items and areas.

For example, self-serve salad bars and soup stations are prohibited by the RIDOH. We will be preparing a variety of freshly made salads throughout the day and our soups will be served.

We have streamlined our menu offerings on the Deli Bar and Grill Line to reduce the impact of customized items. Toasted Deli sandwiches, customized omelets, and customized quesadillas will not be available when you return in the Fall. These items require guests to wait in the service area while their order is being prepared and reduces the space available for safe social distancing. In turn, fewer guests can be allowed to enter in the service area at any given time.

We promise to return these options when conditions allow us to safely do so. In the interim, we will feature a rotating “omelet of the day” and “quesadillas of the day”.

Dining Services has also established an Express Line in DDC with an expanded selection of freshly made prepackaged items to provide additional options and support guests who are in a hurry.

In addition to the East Campus Vending Lounge, new Vending Satellite locations are planned for Craig Lee, Alex & Ani, and Willard Lounge. Each Vending Satellite location will include snack and food machines as well as hot and cold beverage machines. The Vending Satellites will have extended hours of access and accept Meal Plan FLEX Points, cash, and credit/debit card payments.

Yes. Residents will be allowed to use up to three meals during any single meal period, provided that they have a sufficient number of meals remaining for the week, in the meal plan they have chosen. Residents may also use their available FLEX Points at any time.

The Spring semester will result in significantly fewer people on campus, on most days. DDC will continue to operate seven days per work. However, we are reviewing DDC’s opening times Monday – Friday and weekend hours of operation.

We are also reviewing Café operations and hours in light of the reduced number of people expected on campus this Spring. The Café will likely continue to require preordering via the Anchor Dining App (GET).

We have tried to be as transparent as possible by sharing the changes we anticipate for the Spring. We will continue to monitor the COVID-19 situation and should we need to, will make additional changes for your safety and well-being.

Yes. Masks must be worn at all times while in dining facilities. This includes, but is not limited to, access ways, service areas, and seating areas both indoors and outdoors. Face coverings may only be removed when guests are actually eating and drinking in dining rooms or outdoor seating areas.

Face coverings shall not be required for residents whose health would be damaged or who are developmentally unable to comply. These students are required to submit a request with supporting medical documentation to the Reasonable Housing Accommodations Committee through the Disability Services Center utilizing the form on their website: http://www.ric.edu/disabilityservices/Pages/Reasonable-Housing-Accommodations.aspx)

Yes. Guests are required to follow social distancing practices while in dining facilities. These practices include using designated entrances, following “one way directional flow”, and pausing at designated distancing markings when needed. We will have Attendants available to coordinate and monitor the number of guests entering and in the service area at any given time and when exiting, Guests will be required to use a designated exit door.

No. Anyone who has any of the following symptoms cough, fever, shortness of breath, shortness of breath/difficulty breathing, chills, muscle pain, runny nose, stuffy nose, sore throat, headache, nausea or vomiting, fatigue, diarrhea, or recent loss of taste or smell, should not enter dining facilities. Residents who experience such symptoms MUST contact Health Services for guidance.

For the safety of our guests, individuals who are required to quarantine or self-isolate, cannot enter dining facilities. Arrangements will be made to have meals delivered for Residents who are required to quarantine or self-isolate.

Residential Life and Housing does not plan to close before the end of the semester. However, changes in the COVID-19 situation could potentially lead the CDC or the Rhode Island Department of Health to determine that it is in the best interest for the residence halls to close.

If this were to happen, the College would look to give reasonable notice, and try to work with those students who have extenuating circumstances and could not go home. Dining Services would then develop a way to support such students.

The College does reserve the right to terminate housing and meal plan contracts due to public health emergency needs, and this includes COVID-19. In the event RIC terminates housing and meal plan contracts due to a public health concern, the College will offer fair and reasonable reimbursements for impacted students as appropriate and based on the current refund schedule and information available at that time.

RESPONSE TO SUSPECTED AND CONFIRMED CASES OF COVID-19

If a member of the campus community exhibits symptoms consistent with COVID-19, the college takes a number of steps based upon the category of the member:

Residential Students
Students who reside on campus exhibiting symptoms will be referred to Student Health Services for testing in Browne Hall. While awaiting testing results, students will first be asked to self-quarantine at-home. If this is not possible, arrangements will be made for students to quarantine on campus. During that time, the college will provide support to students as necessary (e.g., for meals, classes and other supports). The student will not be able to return to class until clearance is obtained by Student Health Services.

Off-Campus Students
Students living off-campus who are exhibiting symptoms will be referred to their PCP for follow-up. Student Health Services will remain in contact with the student during the course of the student’s illness. The student will not be able to return to campus or class until clearance is obtained by Student Health Services. The on-campus quarantine and isolation spaces in Browne Hall will not be provided for off-campus students.

Employees Working on Campus
Employees working on campus who are exhibiting symptoms will be asked to stay home/go home. They must contact their supervisor and Human Resources, which will then refer them to their PCP for follow-up. Human Resources will remain in contact with the employee during the course of the employee’s illness. The employee will not be able to return to campus or work until clearance is obtained by Human Resources. The on-campus quarantine and isolation spaces in Browne Hall will not be provided for employees.

Teleworking Employees
Teleworking employees who are exhibiting symptoms must contact their supervisor and Human Resources. They will then be referred to their PCP for follow-up. Human Resources will remain in contact with the employee during the course of the employee’s illness. The employee will not be able to return to campus or work until clearance is obtained by Human Resources. The on-campus quarantine and isolation spaces in Browne Hall will not be provided for employees.

Visitors
Visitors who are exhibiting symptoms will be asked to contact Human Resources. They will be asked to leave campus and will then be referred to their PCP for follow-up. The visitor will not be able to return to campus unless clearance is provided by their PCP.

If a member of the campus community exhibits symptoms consistent with COVID-19, the college takes a number of steps based upon the category of the member:

Residential Students
Residential students will first be asked to isolate at-home. If this is not possible, arrangements will be made for students to isolate on campus. During that time, the college will provide support to students as necessary (e.g., for meals, classes and other supports). The student will not be able to return to class until clearance is obtained by Student Health Services, which will remain in contact with the student during the course of the student’s illness.

The college will support the Rhode Island Department of Health (RIDOH) regarding contact tracing and notifications to close contacts will be made as necessary.

Off-Campus Students
Students living off-campus will be asked to isolate at home and not return to campus or class until cleared to do so by Student Health Services. Student Health Services will remain in contact with the student during the course of the student’s illness.

The college will support the Rhode Island Department of Health (RIDOH) regarding contact tracing and notifications to close contacts will be made as necessary. The on-campus quarantine and isolation spaces in Browne Hall will not be provided for off-campus students.

Employees
Employee, including those working on campus and teleworking, will not be able to return to campus or work until clearance is obtained by Human Resources. Human Resources will remain in contact with the employee during the course of the employee’s illness.

The college will support the Rhode Island Department of Health (RIDOH) regarding contact tracing and notifications to close contacts will be made as necessary.

The on-campus quarantine and isolation spaces in Browne Hall will not be provided for employees.

If a member of the campus community exhibits symptoms of COVID-19 or has reason to believe they have been exposed, they should not come to campus for class, work, clinical, etc. Next, they should report that information as follows:

  • Employees are required to contact their immediate supervisor and
  • Students are required to contact Student Health Services

If a member of the campus community subsequently tests positive, the impacted community member is notified first. Next, through contact tracing, other campus community members identified as close contacts, if any, will be notified. Finally, a campus wide notification will be placed on the college’s website about the confirmed case.

Since we are teaching, learning and working in a predominately remote environment, we understand that there may be cases we may not know. The college urges every member of the campus community to share information regarding symptoms and testing with the college’s Rapid Response Team so that we can assess any risk to the campus community-at-large.

No. The college will not share information on non-confirmed cases.

In the event of confirmed COVID-19 cases on campus, the college, in conjunction with the Rhode Island Department of Health will perform contact tracing to identify and notify any individuals who may be been in close contact with the student or employee.

When the college receives notification of a confirmed case involving a member of the campus community (e.g., faculty, staff and/or students, working, teaching, learning, residing or routinely engaging in activities (i.e., sports) on campus), the following information may be shared to the extent necessary to inform the campus while protecting the privacy of the impacted individual:

  • Date of confirmation
  • Number of confirmed cases
  • Category (student or employee)
  • Location (Main Campus, RINEC, Workforce Development Hub, Off-campus)
  • Measures taken (quarantine or isolation on-campus, quarantine or isolation off-campus)

If you have been identified as someone who has been in close contact with, or in close proximity to, any individual who has tested positive for COVID-19, you will be notified by a member of the RIC Rapid Response team who will talk to you about next steps.

If you are experiencing symptoms, have concerns about possible exposure, or have any general questions, please send an email to COVID19support@ric.edu or visit our website.
